Job Overview

The Program Coordinator is a key team member responsible for providing administrative and logistical support to ensure the smooth operation of academic programs. Reporting to the Program Director and working closely with the Program Manager, this role focuses on enhancing student services, managing program documentation, and coordinating events to support the academic goals of the department. Operating within a collaborative team environment, the Program Coordinator plays a vital role in fostering a welcoming and efficient atmosphere for students, faculty, and staff. With a commitment to timely and accurate task completion, exceptional student service, and effective collaboration, this position adapts to evolving responsibilities to meet the needs of the department or division.

Essential Functions

1. Administrative Support

  • Prepare and maintain enrollment reports, program deadlines, and related documentation.
  • Assist with course orders, student course permissions, and classroom scheduling.
  • Process student requests, including reinstatements and program extensions.
  • Compile statistics and generate reports for review by the Program Manager and Department Heads.

2. Event Coordination

  • Plan and manage logistics for key events, such as student orientations, prospective student weekends, and faculty-student gatherings.
  • Handle room bookings, transportation, and other event-related arrangements.
  • Develop marketing materials, such as posters, to promote events and recruit program participants.

3. Student Services

  • Act as the primary point of contact for student inquiries, mail distribution, and file updates.
  • Assist with degree audit waivers, exceptions, and graduation requirements.
  • Support graduate program application processes, including tracking transcripts, collecting acceptance letters, and updating databases.

4. Collaboration and Teamwork

  • Work closely with the Program Manager to streamline workflows and optimize task distribution.
  • Coordinate with student workers to ensure office tasks are completed efficiently.
  • Support the Program Manager in executing academic initiatives and program strategies.
  • Implement marketing and recruitment strategies to attract students and program participants.
  • Provide administrative support for graduate student graduation requirements and application processes.
  • Collaborate with the Program Manager to manage course scheduling and classroom changes.
  • Adapt to evolving responsibilities based on the needs of the team, business unit, or division .

Required Education

  • Bachelor's Degree.
  • Five (5) years of relevant work experience and/or other specialized training can be used in lieu of education requirement.

Required Experience

One (1) year of program coordination experience.

Additional Qualifications Considered

  • Strong data-entry and computer skills including experience using Microsoft Office Suite.
  • Strong written and oral communication skills to support directors with official offer letters, email distributions, and online information is preferred, particularly within an academic setting.
  • Strong organizational and time management skills.
  • Excellent interpersonal skills and professional demeanor.
  • Demonstrated ability to work well in a collaborative, team-based atmosphere.
  • Demonstrated success in working in an administrative support role.
  • Prior experience working in an institution of higher education.
  • Experience with website management.
  • Familiarity with University-specific software programs.
