Position Summary :

The Stanford Health Care and Volunteer & Leader Engagement teams are seeking a Development Associate to support major gift fundraising for Stanford Health Care's hospitals and clinics and leadership engagement efforts. If you are a proactive, detail-oriented, collaborative, and resourceful individual with a strong sense of initiative who thrives in a fast-paced, mission-driven environment and is passionate about making a difference in health care and medicine, this role may be for you. As a self-starter who takes ownership, excels at managing projects, and can adeptly prioritize, you'll provide essential support for two teams that work closely with internal and external stakeholders, including teams within Medical Center Development, Stanford University and Stanford Medicine leadership, Stanford Health Care partners, and other staff. We are looking for someone enthusiastic about patient care and who understands the importance of managing high-level communications and fundraising activities to advance Stanford Medicine's goals.

Reporting to the Senior Director of Stanford Health Care Development and in coordination with the Deputy Chief of Staff, you will play a key role in strategic donor engagement, coordinating and tracking leadership-level interactions, and serving as the central point of contact for managing information and processes across both teams. You will act as a hub for inquiries and projects, ensuring they are either addressed or routed to the appropriate person. In this role, you will be responsible for refining and upholding established procedures, ensuring smooth communication, updating systems and records, and facilitating critical activities, such as high-profile events, donor visits, and leadership meetings. Additionally, you will take on responsibilities that enhance team efficiency and further its development goals, ultimately contributing to the impact of Stanford Medicine.

Your primary responsibilities include :

70% of your time spent on the Stanford Health Care (SHC) Team.

The Development Associate role on the Stanford Health Care (SHC) team provides essential support to the team and directly assists two major gift officers and the Senior Director. This role focuses on tracking and managing complex donor portfolios, facilitating strategic projects, and fostering cross-functional partnerships to advance Stanford Health Care's philanthropic priorities.

• Work closely with gift processing staff to ensure that all necessary gift-related documents are drafted and signed in a timely manner and that gifts are allocated correctly.
• Partner with SHC team fundraisers in the planning and implementation of donor cultivation and stewardship meetings and events.
• Draft internal communications for gift officers and briefing shells for leadership and faculty.
• Draft and help prepare polished materials, including detailed donor visit briefings for senior leadership, proposals, background documents, and presentation materials.
• Maintain gift officers' portfolios by using CARD database as well as MCD's pipeline report.
• Retrieve information about prospects and donors, manage data input, and generate complex reports using the university's external relations databases.
• Assure that donor stage and all engagements are accurate and up to date in CARD.
• Provide administrative support by maintaining and coordinating multiple complex meeting schedules/calendars with limited consultation, reserving rooms, arranging for catering, preparing agendas and handouts, and ensuring all technology needs are met.
• Research new prospects and manage existing pipelines, which includes retrieving and synthesizing donor and prospect information, generating reports and updating records, informing strategies and cultivation for prospects and initiatives, and ensuring strategies are moved forward effectively.
• Serve as the point person at Medical Center Development for scheduling tours and meeting spaces at Stanford Health Care facilities.
• Prepare and submit expense reports. Work collaboratively with the Senior Director to manage the team budget.

30% of your time spent on the Volunteer & Leader Engagement Team.

This position is responsible for managing processes, relationships, and communications by serving as a liaison to the offices of the Dean and CEO, scheduling Dean and CEO meetings and events, fielding a variety of requests, maintaining the meeting/briefing calendar, closely tracking briefings and communications, and, as feasible, other project-based work as a member of the larger Volunteer & Leader Engagement Team.

• Partner with Dean and CEO offices and MCD colleagues to manage the complex scheduling of development-related meetings and events.
• Develop and manage trusted relationships with Dean and CEO offices and MCD colleagues to advance the engagement of Stanford Medicine leaders with donors and volunteers.
• Maintain the meeting/briefing calendar with a high level of accuracy and attention to detail while constantly communicating meeting status and briefing deadlines with colleagues. Follow up with briefing authors to ensure that briefings are delivered on time.
• Track leadership communications with a high level of accuracy and attention to detail and with ongoing contact with leadership offices and MCD colleagues.

• Bachelor's degree and two years of relevant experience or combination of education and relevant experience.
• Excellent interpersonal and communication skills, with the ability to interact with a wide range of people, including both internal and external constituents.
• Ability to work efficiently, juggle tasks simultaneously, meet deadlines, and achieve goals.
• Demonstrated experience in the management of projects, including project initiating, planning, scheduling, and tracking.
• Experience analyzing data and content, and effectively communicating and presenting results and recommendations succinctly to key stakeholders.
• Exceptional attention to detail and follow-through.
• A growth mindset and willingness to contribute to a positive and optimistic working environment.
• An eagerness to build comprehensive knowledge of Stanford Medicine and thrive in a mission-driven, dedicated, and collaborative office environment.

PHYSICAL REQUIREMENTS *:

• Frequently perform desk-based computer tasks, sit, and use a telephone, stand/walk.
• Occasionally light/fine grasping, lift/carry/push/pull objects that weigh up to 10 pounds, writing by hand.

The expected pay range for this position is $89,009 to $100,380 per annum.
