Job Description

Duties and Responsibilities:

Office Management

· Assist the executive team with ongoing administrative tasks

· Serve as Corporate Secretary – coordinate agenda, board report and meeting minutes for board meetings.

· Direct ongoing office operations including office space transition, mail, deliveries, and companywide communications

· Coordinate with employee needs including reimbursements, expense reports, and general questions

· Maintain company calendar

· Assist with corporate filings

· Assist with accounting needs - accounts payable and month end close

Compliance and Administration

· Manage insurance policies: applications, additions, renewals, annual audits, COI requests

· Manage registrations and licenses – includes applications, renewals for both business and products in multiple cities and states

· Maintain company documentation and files - receipts, W9s, tax forms, contracts

· Assist with contract review

· Special projects as needed - sales and marketing team support, report preparation, and general organization

· Review and update company policy documentation

· Support with investor relations – report preparation and communication

HR

· Assist with employee onboarding

· Coordinate ongoing payroll needs with CFO and Payroll Accountant

· Discuss HR items with General Counsel

· Document duties and responsibilities for job positions

· Employee Handbook and policy management

· Maintaining Employee records

· Conducting performance appraisals
